License Management
Overview
The License feature in the Discovery module enables management and analysis of application license data. It allows tracking of license allocation, usage, and optimization opportunities.
The feature also supports bulk license data import using an Excel template. This enables mass creation and updating of license records using App ID as a unique reference.
Demo data is enriched with license information to provide realistic dashboards and insights.

License Dashboard
Purpose
- The License feature is designed to:
- Manage license information for applications
- Support bulk import through Excel upload
- Update existing license data automatically
- Prevent invalid or incomplete data creation
- Provide visibility into license usage and optimization
- Display insights such as Eligible Users, Over-Licensed Applications, and Potential Savings
Steps License Dashboard
- Navigate to Discovery.
- Open the License tab.
- The License Dashboard will appear.
The dashboard displays license-related metrics and visual insights.
Dashboard Metrics
- Saving Potentials: The estimated financial amount that could be saved by reducing excess licenses.
- Licensed Apps: The total number of applications that have license data stored in the system. Applications with at least one valid license record.
- Over-Licensed Apps: The number of applications where purchased or assigned licenses exceed the number of active or eligible users.
- Potential Savings: The total calculated monetary value that can be saved if over-licensed applications are optimized.
- Saving Potential by Category: Breakdown of saving opportunities grouped by application or organizational category.
License Management Table
The License Management table displays application-level license data. Each row represents one application.
Below is a detailed explanation of each column.
- App Name: Displays the application name. Not editable.
- Application URL: Displays the application URL. Not editable.
- Category: Shows the application category. Used for reporting and grouping.
- Eligible Users: Displays the number of active or eligible users. Auto-calculated from usage data. Not editable.
- License (Editable): Represents the total number of purchased licenses. Can be edited manually or updated via Excel import.
- Per Seat (Editable): Represents the cost per license seat. Editable field. Used for cost calculation.
- Total Cost: Automatically calculated: License × Per Seat
- Savings: Automatically calculated when licenses exceed eligible users.
License Table – More Options Menu
The three-dot button is available on the License page to provide additional actions.
Steps
- Click on the three-dot button.
- A dialog opens displaying a list of available options.
Available Options
Import: Allows uploading an Excel file to create or update license records in bulk.
Download; Downloads the current license data as an Excel file.
Template: Downloads the predefined Excel template structured according to the License table format. The template must be used for bulk data import.
Refresh: Reloads the License table and updates the dashboard with the latest data.
Example – Complete Flow
Application: Zoom Eligible Users: 120 License Entered: 200 Per Seat Cost: $15
Step 1: Calculate Excess Licenses 200 − 120 = 80
Step 2: Calculate Savings 80 × $15 = $1,200
Step 3: Calculate Total Cost 200 × $15 = $3,000
Dashboard Impact:
- Application appears in Over-Licensed Apps.
- $1,200 reflected in Saving Potential.
- Total Potential Savings increases.
- Category chart updates accordingly.
